When a transaction is under contract, your TC will complete the following:
- Coordinate opening of the file with escrow and handle all documents securely.
- Introduction email will be sent providing a timeline of deadlines with a copy of the executed contract to coop-agent, buyers agent, buyer/seller - (Your client as appropriate) lender and title company.
- Ensure everything is fully executed with dates, initials, signatures, broker information is completed.
- Submit all required contract documents to broker for compliance.
- Send/request disclosure packages and gather signatures if needed.
- Ensure the lender, title company, co-op agent, and broker receive any amendments or changes to the contract.
- Verify EM deposit and obtain receipt from escrow, selling firm, or builder.
- Verify inspection date and time. Ensure appropriate parties have received reports to review.
- Keeping in contact with the title company and lender throughout the transaction. Provide agent email updates on the status of the transaction keeping you informed.
- Update deadlines due to any changes in the contract.
- Order Home Warranty per contract if needed.
- Send CC&Rs to buyer.
- Draft amendments at agent's instruction.
- Confirm inspection has been set up in accordance with offer deadline.
- Monitor appraisal timeline and completion with the lender.
- Coordinate and monitor buyers loan status with lender.
- Ensure your buyer/seller (your client) is provided a copy of all documents.
- Remind agent to draft Commission Disbursement (if applicable). If TC is completing CD request, form MUST BE approved by agent before submitting to escrow and compliance.
- Upload all disclosures, documents, and reports into agents online transaction management service as they are received or fully executed throughout the transaction. (if applicable)
- Provide access to the transaction management service 24/7 to agent.
- Maintain constant contact with all parties involved for status updates as well as outstanding items.
- Verify escrow has all required documentation.
- Coordinate and confirm final walk-through.
- Schedule signing appointment for client and agent if applicable.
- Conduct a final audit of file prior to closing to ensure all documents are uploaded and the file is complete.
- Confirm final recording and alert agents.
- Upload Final HUD/ CD to online transaction management service for compliance
THIS SERVICE INCLUDES:

Buyer Side:
- Upload buyers rep agreement and all broker required forms for compliance.
- Submit all executed contracts, counter-proposals, and amendment extensions (if applicable) to lender.
- Arrange EM drop-off/coordinate wire transfer through EMTransfer or Title.
- Upload all forms, amendments, and addendums for compliance.
- Draft RE-10 per agent's instructions.
- Follow up on repairs and receipts from inspection.
- Give utility contact info and remind the buyer to transfer utilities.
- Coordinate Key transfer upon closing.
- Send email to your client asking for a review on agent's preferred site.
Seller Side:
- Upload Listing Agreement and all broker required forms for compliance.
- Follow up signatures of all documents.
- Upload all forms, amendments, and addendums for compliance.
- Follow up on repairs and receipts.
- MLS Data Input to pending, and closed.
- Order For sale sign down.
- Send email to your client asking for a review on your preferred site.
When listing coordination is requested, your TC will complete the following:
- Create new listing packet in Agent's Instanet: Seller Rep, Agency, IMLS Data Sheet, RE25, (LBP).
- Confirm schools.
- Confirm HOA information, including annual & transfer fees.
- Obtain CC&Rs and Plat Map.
- Email listing forms from Agent's Instanet to Seller for their review and signature.
- Review documents for compliance.
- Upload documents to Broker platform.
- Order photos.
- Order For Sale sign.
- Email MLS partial to Agent for their review *Agents write their own remarks for MLS.
- Create live MLS listing.
- Email live listing to Agent & Seller.
- Audit MLS listing, maintain updates.
- Order listing home warranty from Landmark.
- Update Agent lockbox in Supra.
- Order sign removal once file has closed.

When a transaction is under contract, the Agent is responsible for the following:
- Completion of Purchase Agreement/Counters (TC will complete for a fee).
- Provide TC fully executed contract.
- Provide TC client contact information.
- Provide TC access to necessary platforms.
- All negotiations, including repairs. TC will complete addendums and RE-10s as needed.
- Review Preliminary Title Report. TC will also review, but ultimately agent responsibility.
- Review escrow instructions & settlement statements. TC will also review, but ultimately agent responsibility.
- Attend home inspections & final walk through.
- Provide access to property as needed.
- Forward communication to TC when not copied.
- Flyers/Marketing (TC will complete for a fee).
Fee schedule:
Preparing Offers: $40/per contract
Contract to Close: $350
List to Close: $450
Dual Sided: $550
*Fee paid at closing.
Listing Coordination Only: $150
*Fee paid when listing live in MLS.
File Auditing & Broker Compliance: $100-200
*Fee paid at file completion.
